What This Role Owns

The Recruiting Coordinator owns process execution and accuracy.

Recruiters own candidate assessment, relationship management, sourcing strategy, and closing. Hiring managers own hiring decisions. The Recruiting Coordinator makes sure the process connecting all of them runs efficiently.

The Recruiting Coordinator is the operational backbone of the recruiting team, ensuring that candidates, recruiters, and hiring managers move through the hiring process quickly and smoothly. The goal is to remove administrative work from recruiters and hiring managers while creating a consistently strong candidate experience.

What you’ll do

Interview Coordination

  • Schedule recruiter screens, hiring manager interviews, technical interviews, panels, and final rounds.

  • Coordinate complex interview loops across multiple time zones and teams.

  • Manage rescheduling and last-minute changes quickly.

  • Ensure interviewers have the correct calendar invites, candidate materials, and interview instructions.

  • Coordinate Zoom or in-person interview logistics.

Candidate Experience

  • Serve as an operational point of contact for candidates throughout the interview process.

  • Send interview confirmations, preparation materials, follow-ups, and logistical information.

  • Make sure candidates always know what happens next and are not left waiting for updates.

  • Coordinate onsite interviews, including office access, rooms, meals, and travel when required.

ATS & Recruiting Operations

  • Keep Ashby candidate records, interview stages, sources, notes, and statuses accurate and up to date.

  • Make sure candidates are moved through the correct stages and closed appropriately.

  • Monitor missing scorecards and follow up with interviewers.

  • Maintain clean recruiting data so dashboards and reports are reliable.

  • Support job creation, interviewer setup, scheduling templates, and recruiting workflows in Ashby.

Hiring Manager & Recruiter Support

  • Partner closely with recruiters to manage active pipelines.

  • Follow up with hiring managers and interviewers when feedback or scheduling availability is missing.

  • Prepare recruiting materials and candidate information ahead of interviews.

  • Ensure approvals and required information are collected before an offer is issued.

  • Support the handoff of accepted candidates to HR / People Ops for onboarding.

Recruiting Team Operations

  • Help maintain recruiting trackers, documentation, templates, and internal resources.

  • Support weekly recruiting meetings and pipeline reviews.

  • Identify repetitive administrative work that can be standardized or automated.

Requirements

  • Highly organized and exceptionally detail-oriented.

  • Comfortable managing many simultaneous processes and calendar changes.

  • Strong written communication skills in English and Russian.

  • Able to work with senior candidates and executives professionally.

  • Comfortable operating in a fast-paced, high-growth environment.

  • Experience with Ashby and Linkedin Recruiter.

  • Experience coordinating interviews across multiple countries and time zones is a plus.
